New Ashtabula Initiative

Privacy Policy

The New Ashtabula Initiative builds working software for townships, villages, and local businesses in Ashtabula County, Ohio, and provides it to them at no cost. This policy describes what we collect, why, who else processes it, and how to have it removed. It is written to be read, not to be survived.

Why we hold it

Automated assistants

Several of our sites answer questions using AI language models. When you ask such a question, the text of your question — together with the reference document the answer must be grounded in — is sent to a model provider to generate a reply. Do not enter sensitive personal information, account numbers, or anything confidential into these assistants.

These assistants are demonstrations. Their answers are informational only, are not legal advice or an official determination, and do not replace a decision by a township, an inspector, or a licensed professional.

Who else processes it

We use a small number of established providers. They process data on our behalf, under their own terms, and only to deliver the service:

ProviderWhat it handles
VercelWebsite hosting and delivery
OpenRouterRouting questions to AI language models
VapiVoice assistant calls
TwilioTelephone connectivity for some numbers
ElevenLabs, Deepgram, AssemblyAISpeech synthesis and transcription for calls
GoogleEmail delivery for outreach and replies

We may also disclose information where the law requires it, or to protect the safety and integrity of the service.

How long we keep it

We keep information only as long as it serves the purpose it was given for. Request and form submissions are retained while the project they belong to is active. Contact records are kept until the organization asks us to remove them, or until we stop offering them anything. Opt-out records we keep indefinitely and deliberately — that is the only way to guarantee we do not contact you again by mistake.

Your choices

Email hello@new-ashtabula-initiative.com and we will act on it. You do not need to give a reason.

Security

Traffic to these sites is encrypted in transit. Credentials for AI and telephony providers are held server-side and are never exposed to the browser. No system is perfect, and we do not claim otherwise.

Changes

If this policy changes materially we will update the date at the top of this page. This service is operated from the United States, and information is processed there.
